The successful candidate will be responsible for a wide range of procurement duties, including:
- manage tenders and request-for-quotation exercises for goods and services for various user units;
- guide users through procurement procedures, including preparation of purchase requisition, tender/ quotation specifications, evaluation, recommendation, etc.
- ensure the procurement process in compliance with the College’s regulations and procedures, and relevant applicable procedures;
- serve as the Secretary for Tender Assessment Panel meetings;
- prepare price summaries, quotation reports, meeting minutes, tender board papers, PO, contracts;
- verify funding availability for the tender/quotation award;
- perform supplier management including registration, record updates, supplier performance review;
- handle office supplies purchases (e.g. stationery, name cards), stock control, and payment requisitions;
- coordinate disposal of fixed assets and minor furniture and equipment;
- assist in ERP system development;
- provide procurement data and analysis for management consideration; and
- perform any ad hoc duties as assigned by supervisors.
Applicants should:
- hold a Bachelor’s degree with at least 3 years of relevant working experience, preferably gained in the tertiary education or public sector;
- be capable of multi-tasking and work independently with minimal supervision;
- demonstrate strong planning, problem-solving, interpersonal and communication skills;
- be well-organized, detail-minded, self-motivated, and a team player;
- have good command of both written and spoken English and Chinese; and
- be proficient in Microsoft Word and Excel, including advanced functions such as pivot tables and VLOOKUP; Experience in SAP is an advantage.
Candidates with less experience will be considered for the position of Assistant Procurement Officer.
Salary will be competitive and commensurate with qualifications and experience.
