Gift Donation Policy

The Library welcomes donation of books and other materials that support the educational interests of the College. Gifts-in-kind that align with academic needs, curriculum support, and collection gaps are valuable addition to the Library’s collections.
 
Conditions of acceptance:
  • Only items in good to excellent condition will be accepted.
  • The Library reserves the right to accept or decline prospective donations.
  • Once a donation is accepted, it becomes the property of the College on an irrevocable basis. The Library reserves the right to retain or dispose of any donated items as it deems appropriate.
  • The Library does not accept donations with restrictions or special conditions including but not limited to requirements on retention, housing, display or future use.
 
Materials Generally Not Accepted:

The Library normally will not accept the following items as gifts or donations:

  • Duplicate items already held by the Library;
  • Outdated textbook;
  • Books in the subject areas of Business, Science, Technology and Medical Studies published more than 4 years ago;
  • Newspapers, magazines and periodicals;
  • Materials in poor physical condition (e.g. defective, moldy, pages torn/missing, brittle paper, with heavy markings, etc.);
  • Illegal, pirated or copyright-infringed items (e.g. photocopies, off-prints, etc.);
  • Stamped or clearly marked publications indicating ownership of other organization’s property;
  • Media in obsolete or less commonly used formats. (e.g. U-matic tapes, VHS, phono records, computer diskette in 3.5 inches, etc.);
 
Donation Procedure:
  • Contact the Library before sending the items;
  • An inventory list with basic descriptions (e.g. title, quantity, donor contact details) may be required;
  • Fill out a Gift & Donation Form;
  • Send the item(s) to:

Acknowledgement

  • The Library thanks all donors for their generosity and support.
  • Due to limited staff resources, the Library will only send an acknowledgement if this is requested on the Gift & Donation Form.
  • Items that are not accepted will be handled at the Library’s discretion. If donors wish to have these items returned, they must let the Library know in advance and arrange for collection themselves.
  • Accepted items added to the Library collection may later be withdrawn in line with the Library’s weeding policy.
